This Privacy Policy explains how BASE Assurance (“BASE Assurance,” “we,” “us,” or “our”) collects, uses, discloses, and protects information about you when you visit our website, contact us, book services, or receive Home Watch services (collectively, the “Services”). Our Services are offered in Florida.
1) Information we collect
We collect information in several ways: (a) information you provide, (b) information collected automatically when you use our website, and (c) information we collect or generate while providing Services.
A. Information you provide
- Contact information: name, email address, phone number, and mailing address.
- Service and administrative information: plan selection, scheduling preferences, communication preferences, emergency contacts, and special instructions.
- Property information: service address and details needed to perform Services (for example, pool/irrigation presence, shut-off locations, pets, and vendor contacts).
- Access information (sensitive): keys, lockbox details, gate codes, alarm/entry instructions, smart-lock access permissions, and other access details you authorize us to use.
- Communications: information you share when you email, call, text, submit a form, or otherwise contact us.
B. Information we collect or create while providing Services
Because Home Watch is an observational service, we may collect and create:
- Visit documentation: photos, notes, checklists, and reports describing observed conditions (for example, signs of leaks, pests, HVAC concerns, security issues, storm impacts, or other visible conditions).
- Service records: visit dates/times, actions performed with authorization (including add-ons), and follow-up coordination you request (such as vendor access/oversight).
- Incident documentation: documentation and communications related to any issue identified and recommended next steps.
C. Limited public or third-party information (when needed)
In limited circumstances, we may reference publicly available information or information provided by authorized third parties to perform Services or confirm service details (for example, basic property/parcel information or HOA contact information). We do not use public information for unrelated marketing or profiling.
D. Information collected automatically (website use)
- Device and usage data: IP address, browser type, device identifiers, pages viewed, time spent, referring URLs, and general site interaction data.
- Cookies and similar technologies: used for essential functionality, analytics, and preferences (see “Cookies & analytics”).
2) How we use information
- Provide Services (schedule visits, perform checks, document observations, and deliver reports).
- Communicate with you (respond to inquiries, provide updates, and notify you promptly if we identify an issue).
- Operate our business (maintain records, improve service quality, and administer customer relationships).
- Process payments and billing (confirm transactions, manage invoices, and prevent fraud).
- Coordinate authorized follow-up (communicate with vendors/contractors you authorize and share only what’s needed).
- Security and compliance (protect systems, prevent misuse, enforce agreements, and comply with legal obligations).
3) How we share information (we do not sell it)
We do not sell your personal information. We do not share your personal information with third parties for their own marketing purposes.
We may share information only as follows:
A. Service providers
We may share information with trusted service providers that help us operate, such as payment processing, website hosting, forms, scheduling, communications (email/SMS/messaging), analytics, and IT/security services. These providers may use information only to perform services for us and are expected to protect it.
B. Vendors/contractors you authorize
If you request vendor coordination/oversight or related services, we may share limited information necessary to complete that request (for example, service address, access instructions, and relevant notes).
C. Legal and safety reasons
We may disclose information if we believe disclosure is necessary to comply with law or legal process, protect rights and safety, or investigate/prevent suspected fraud, abuse, or security issues.
D. Business transfers
If we are involved in a merger, acquisition, financing, reorganization, or sale of all or part of our business, information may be transferred as part of that transaction.
4) Payments
If you pay online, payments are processed by a third-party payment processor. We do not store full payment card numbers on our systems. The payment processor may collect and process your payment information according to its own privacy policy and security practices.
5) Reports and communications delivery (including mobile messaging)
Reports and service communications may be delivered through email, a portal, mobile messaging (including SMS/MMS and similar carrier-based messaging services), phone, in person/verbal communication, or another mutually agreed method.
Mobile messaging consent and opt-out
If you provide a mobile number and choose (or agree) to receive mobile messages from us (including SMS/MMS and similar carrier-based messaging services), you consent to receive service-related messages such as appointment scheduling, visit notifications, and issue alerts. Message and data rates may apply; message frequency may vary.
You may opt out at any time by replying STOP (where supported) or by contacting us at privacy@baseassurance.com. If you opt out of mobile messages, we will use another mutually agreed method for service communications (for example, email or portal reporting). Reply HELP (where supported) for assistance.
We do not use mobile messaging consent to send third-party marketing, and we do not sell your phone number.
6) Cookies & analytics
We may use cookies and similar technologies for essential site functionality and security, and for analytics to understand website performance and improve usability. You can control cookies through your browser settings; disabling cookies may affect site functionality.
7) Data retention
We retain information only as long as reasonably necessary to provide Services, maintain business records (including accounting/tax), resolve disputes, enforce agreements, and comply with legal obligations. Visit documentation (photos/reports) may be retained to support continuity of service and recordkeeping. If you request deletion, we will evaluate the request consistent with legal requirements and legitimate business needs.
8) Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information. However, no system is guaranteed 100% secure.
Sensitive access information: Access details (for example, lockbox information and alarm instructions) are treated as sensitive and shared internally only with those who need it to perform Services.
9) Your choices
You may request to access, correct, or update your personal information, and you may request deletion subject to legal and legitimate business exceptions. To submit a request, contact privacy@baseassurance.com.
10) Children’s privacy
Our Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
11) Third-party links
Our website may contain links to third-party websites or services. We are not responsible for the privacy practices of third parties.
12) Changes to this policy
We may update this Privacy Policy periodically. We will post the updated version on this page and revise the Effective Date above.
